I designed this process specifically for nonprofit teams: people who are stretched thin, wearing five hats, and don't have time to babysit a designer. Every phase has a clear ask from you, a clear deliverable from me, and no surprises in between.

This is what working with someone who came from Amazon's design team looks like when it's built for mission-driven organizations instead of corporate timelines.

Normal Timeline: 5-6 weeks from kickoff to launch*

Rushed Timeline: 2-4 weeks* (extra fee is applied)

How I'll Keep You Updated

One of the things my clients tell me they appreciate most is knowing exactly where things stand. Here's how I make that happen:

Email
Primary communication for updates, sharing drafts, and feedback

Video Calls
Kickoff meeting, mid-project check-in (optional), training session

Loom Videos
We often record quick videos to present designs or explain concepts

Shared Project Folder 
A Google Drive or Notion workspace for files, drafts, and feedback, so nothing gets lost in email.

My response time: Within 24 hours

What I ask of you: Feedback within 3-5 business days so we stay on schedule.

Phase 1: Discovery & Strategy

Timeline: Week 1

What I Need From You:

  • We'll discuss:

    • Your nonprofit's mission and programs

  • I'll review:

    • Design approach and rationale

Phase 2: Design & Development

Timeline: Weeks 2-4

Your job in Phase 2:

Review designs when I send them (usually 1-2 rounds of revisions), give specific written feedback, and let me know if something isn't matching your brand vision. The more specific your feedback, the faster we move.

    • I create mood boards and/or provide guidance for style direction

    • Design first template (usually newsletter)

    • Share for your feedback

    • Incorporate your feedback

    • Design remaining templates

    • Ensure mobile responsiveness

    • Optimize for conversion

    • Present complete template system

    • Make requested revisions

    • Test across devices and email clients

    • Finalize all designs

    • Async feedback via email or Loom videos

    • Optional mid-project check-in call

    • Clear revision process (included rounds vary by package)

Phase 3: Implementation & Training

Timeline: Week 5

What I Need From You:

✓ Test templates after setup

    • Upload all templates to your platform

    • Configure for easy editing

    • Set up any automations

    • Test thoroughly

  • Live session covering:

    • How to edit each template

  • You'll receive:

    • Recorded training video

    • Step-by-step editing guide

Phase 4: Launch & Support

Timeline: Week 6 onward

  • Yes, with a scope adjustment. I'll let you know the timeline and cost impact before we proceed.

  • Every project includes revision rounds, so you'll never be stuck with something you don't love. I ask for specific written feedback so changes are fast and targeted.

  • My packages focus on design and layout. I don't write full email copy. But I do provide copyframes: headline options, CTA variations, and subject line formulas your team can fill in.

  • Your templates are built to be ESP-flexible. I'll provide a migration guide and can help with re-setup if needed (billed as a separate service).
